Booking Terms

A booking is confirmed once the agreed booking deposit has been paid. The deposit secures the agreed date and time.

• Standard and Extended Sessions require a £50 booking deposit.
• Half-Day Event Photography requires a £100 booking deposit.
• Full-Day Event Photography requires a £175 booking deposit.

The remaining balance for Standard and Extended Sessions is due on the day of the photography session.

• Standard Session: £105 remaining balance.
• Extended Session: £145 remaining balance.

The remaining balance for an Event Photography booking is due 7 days before the event.

• Half-Day Event: £295 remaining balance.
• Full-Day Event: £520 remaining balance.

If a client needs to cancel or rearrange a Standard or Extended Session with at least 24 hours' notice, the booking deposit can normally be transferred to a mutually agreed replacement date.

Where less than 24 hours' notice is given, the booking deposit may be retained. Genuine animal-welfare circumstances will be treated reasonably and may allow the deposit to transfer to a rearranged session.

Event bookings reserve a substantial block of photography time and are therefore subject to the following cancellation terms:

• 14 days or more before the event: the deposit may be transferred once to another mutually agreed date.
• 7 to 13 days before the event: the booking deposit is retained.
• From 48 hours up to, but not including, 7 days before the event: 50% of the total agreed event fee is payable.
• Less than 48 hours before the event: 100% of the agreed event fee is payable.

Amounts already paid are credited against the applicable cancellation charge. If payments exceed that charge, the excess is refunded.

Genuine postponement or cancellation caused by severe weather or circumstances outside the reasonable control of the organiser or photographer will be handled fairly according to the circumstances of the booking.

If Barry Henderson Photography is unable to fulfil a confirmed booking, any money already paid for that booking will be refunded. Where practical, Barry will also try to give as much notice as reasonably possible.

Safety and animal welfare take priority. Where weather or other conditions make a private session unsuitable or unsafe, the session may be rearranged and the booking deposit transferred to the new agreed date.

Barry may stop or alter photography where continuing would create an unreasonable safety or welfare risk.

• Half-Day Event coverage includes up to 4 consecutive hours.
• Full-Day Event coverage includes up to 8 hours.

Coverage begins at the agreed start time. Delays caused by the organiser, venue or event schedule do not automatically extend the booked coverage period.

Additional event coverage is charged at £18.75 for each additional 15 minutes, equivalent to £75 per hour, and should be agreed in advance where possible.

Event packages include travel up to 30 miles one way from Corby Hill, Cumbria. Travel beyond 30 miles is quoted individually and agreed before booking.

Exceptional parking charges, tolls or accommodation requirements will be agreed beforehand where they apply.

The organiser is responsible for arranging any necessary venue access, accreditation, permissions or passes required for Barry to carry out the agreed photography.

The organiser must inform attendees that event photography will be taking place and must tell Barry about any relevant photography restrictions, safeguarding requirements, restricted areas or people who must not be photographed.

Reasonable no-photography requests will be respected where practicable. Events involving children, schools, clubs or other safeguarding-sensitive circumstances must follow the organiser's own permission and safeguarding procedures.

Barry Henderson Photography cannot guarantee that every attendee, competitor, animal, class or activity will be photographed unless specific coverage has been agreed beforehand.

Half-Day Event organisers may select 20 edited images and Full-Day Event organisers may select 40 edited images from the organiser selection gallery.

Additional organiser-selected commercial images are £25 each or £100 for five.

The organiser's included selected images are supplied with a commercial and promotional licence for the organiser's own website, organic social media, brochures, posters, press and publicity.

Additional organiser commercial images purchased for the event are supplied under the same commercial and promotional licence as the organiser's included selected images unless separately agreed.

Copyright remains with Barry Henderson Photography.

Paid advertising, resale, merchandise, sublicensing or supplying the photographs to sponsors, exhibitors or other third parties for their own commercial use requires separate agreement.

Where appropriate, an attendee event gallery may be provided for viewing and purchase of suitable event photographs.

Where an attendee event gallery is provided, it will normally remain available for 90 days after publication. Finished photographs may remain archived afterwards, so later enquiries or orders may still be possible, although permanent archival storage is not guaranteed.

A reasonable request to remove a photograph from an attendee event gallery will be considered where appropriate.

Event attendee digital JPEG downloads (maximum dimension 3000px) are £10 each or £40 for five.

Attendee purchases are supplied for personal use only. They do not transfer copyright and do not include commercial or business usage rights.

Barry Henderson Photography selects and edits the photographs supplied to clients and organisers. RAW or otherwise unprocessed image files are not supplied. Extensive or specialist retouching may be quoted separately where requested.
